Develop business objectives/measures and compiles the raw material for the email campaign.

Content and Format
  • Develop email content based on business objectives and measures of success; also need to decide if the message is to be translated to other languages.
  • HTML message
  • HTML message with click through to a website
  • Informational (promotional news, product information, etc.)
  • Targeted fill-in forms (data collection relating to an offering)
  • Surveys (past interaction, performance, etc.)
  • eCommerce (ability to view, purchase and pay for products online)
Distribution List
  • Creation (leverage existing list or acquire new list)
  • Maintenance
      1) Maintain the list in the same format as original (MS Excel, Text,
          Access, other databases) and make the changes.
      2) Develop a secure web access to distribution list database that can
          be used to update lists, view lists, and reports.
      3) Integrate update process with client's business systems (i.e. CRM)
          which allows for automatic update.
      4) Develop a complete Customer Relationship Management (contact
          information, communication history, action items, etc.).

Distribution

Message will be sent to the distribution list with "From", "Reply To", "Subject" parameters set as specified.

  • Same message to all recipients.
  • Content of message is customized to each recipient such as language, name, products, contact, promotion.
  • Request for more information
    Action: Forward request to specified email address.
  • Survey results
    Action: Forward content to specified email address.
  • Removal requests
    Action: Remove requesters from the list.
Reporting
  • Campaign Measures
      1) Number of click-through to website links
      2) Number of requests for information
      3) Number and content of completed surveys
      4) Number and items purchased
      5) Number of recipients who opened the email (not recommended,
          viewed as intrusive by readers and it is not universally supported)
  • Distribution List Quality
      1) Number of removal requests
      2) Number of undeliverable email address
      3) Number of changes
      4) Number of additions
  • Additional reporting and analysis as needed
